Final meeting before cutover happened this week with the agency. We were able to set expectations for the go-live happening on night of May 5th. I have also prepared and lined up all necessary changes that needs to happen for the night of (UKG, Maconomy, Navex, Workfront.) Next week, we will perform all changes on the night of May 5th, 7PM EST Onwards.

We were able to pre-stage the application this week. Next week Tuesday, we will proceed with linking365 to Okta for Gold Rabbit. That should mark the end of their Okta Onboarding.

We had a productive discussion between the engineers and Milda to clarify the required updates for the 3 completed dashboards ahead of her final UAT and Prod deployment. However, still no progress on the remaining dashboards as we wait for the necessary mapping details from Jessica.

Blocker: Maconomy needs to provide the mapping details to resume progress on the rest of the dashboards. Risk: Once those details are provided, the PowerBI team may be focusing on other projects, so there still won't be any progress made.

Kantata is scheduled for decommissioning in October, so Workfront has to be ready for them to start using fully before then.

W9 process change is still on hold. According to Joshua's update, BizApps leadership doesn't have any plans on putting this on motion. Lauren is planning to bring this up during the call with Unai.

Doner Asset Migration (Xinet/Box → AEM): The Stagwell team has successfully set up and connected to the GCP VM. Doner is still finalizing assets and metadata and will notify Stagwell once they are ready to proceed with the pilot migration. The initial AEM alignment call between Doner, Adobe, and Stagwell took place on 4/27; however, several questions remain outstanding and will be addressed in a follow-up call scheduled for 5/1. Doner will provide AEM Go/No-Go confirmation to Adobe by EOD 5/1. An additional alignment call is scheduled for 5/4 to ensure Adobe and Stagwell are aligned on the asset migration approach for Doner. Next steps: • Jenn to provide the go signal on the initial pilot assets identified for migration. • Adobe and Stagwell to align on the level of effort and overall migration approach. Fusion AI–Driven Intake: The Stagwell team demoed the latest changes. Some bugs were identified during edge case testing but were resolved promptly after Doner made updates to their AI agent. The data structure issue has been resolved, and all Stagwell-identified edge cases have been completed. Next steps: • Doner to perform UAT testing during the week of 5/4. • Stagwell to facilitate a UAT walkthrough, with Doner executing live testing during the session. Project Boards: This remains a Priority 2 item. Teams will reconvene to review requirements and walk through sample project boards, including any examples Adobe may provide. This is tentatively targeted for May, following completion of the Timesheet multi-threading UAT.

Stagwell HR / Recruitment: A working session was held with Nick (HR) and the Stagwell team to align on HR/Recruitment requests and future goals. It was identified that the HR and Recruitment teams are currently using manual spreadsheets to track recruiter utilization and availability. The group aligned to explore reusing existing HR-related integrations or building a new solution to improve visibility into recruiter capacity, utilization, and effort. The future-state vision includes integrating Power BI to enable easier consumption and visualization of these dashboards. Next steps: - Stagwell team to conduct a feasibility analysis of the existing iCIMS → Workfront integration, using the spreadsheet and iCIMS snapshots to be shared by Nick. - Stagwell to assess what can be reused, what is unsupported, and what would require new scope or budget (including a potential budget check for iCIMS sandbox access). A weekly check-in has been scheduled with Nick (HR) to track progress.

VIVA Project Planning & Reporting - RPA Team will be preparing for an upcoming RPA Weekly Reporting with Nikki next Thursday (5/7) Migration of facilities team from Freshdesk to FreshService (5/5) RPA | Maconomy Upgrade (5/23-24) - RPA Team are currently performing regression testing for all automations against test data to validate that all automations are working as expected. If an error shows up, we can create a test plan to fix those errors. This is to make sure that nothing will be affected after the Maconomy upgrade is done. EUC | BizApps Migration Project - Currently, all tickets from different projects and agencies are routed into a single board, creating inefficiencies in filtering and assignment. The goal of this project is to implement a Jira Service Management ticketing system that enables proper ticket categorization, filtering, and automated routing to the correct teams or projects, improving efficiency, visibility, and response times.
